How to request a mail scan

We explain how to request a scan of a piece of correspondence received.

To take action on a piece of mail you must have signed and notarized USPS Form 1583. What is this?

These are the steps to request the scanning of a mail item:

  1. Access to mail handling platform

    To request mail scanning you must log in to our customer portal, and go to the mail handling platform, you can follow these instructions if you need help with this process.

  2. Request scan

    To request the scanning of a piece of correspondence, you must go to the "New" tab, and on each piece of correspondence you will have a series of actions that you can take, click on the one that says "Request a Scan" (see photo)

  3. Scan option

    You will have the option to request a standard scan, which may take 3-4 days to process, or you can request an "express" scan if you need the information the same day or the next day. For "express" scans, a higher cost will apply than the standard scan.

Note: Express scanning for the same day must be requested before 12 PM. Requests received after this time will be processed the next business day.

4. View your scanned document

Once GBS Group processes the scan of your correspondence you will receive a notification in your email, click on the "See scan" button to see the scanned document.

5. Take a final action on the document

Once the document has been scanned you can download it and save it on your preferred device, however, you must take into account that it is still physically stored in our offices.

After 1 month after receipt of the document, you must pay a fee of $1.5/month for each piece of correspondence stored.

To avoid this storage fee you must tell us what you want to do with the correspondence, your options are:

  • Discard/Shred correspondence
  • Collect mail
  • Ship to an address (upon payment of shipping fee)
All of these options will help you avoid this storage fee.
